Terms & Conditions
Last updated September 2026. Plain terms for commissions, purchases, and use of this site.
These Terms
These terms govern any commission, purchase, or use of stonekeepoutfitters.com. StoneKeep Outfitters is based in Malta. By commissioning a piece, joining a waitlist, or otherwise using this site, you agree to the terms below.
How Commissions Work
Every bespoke commission follows the process described on our Commissions page: brief, consultation & quote, measurements & pattern, construction, then delivery & sign-off. Quoted timelines (typically 8–12 weeks from deposit) are estimates, not guarantees. Complex or multi-piece commissions may take longer, and we'll tell you honestly if that's the case.
A deposit of 50% of the quoted price is required to secure your commission slot and begin work. This deposit is non-refundable once paid, as it reserves your place in our queue and covers materials and time committed from that point. The remaining 50% balance is due before your finished piece is dispatched.
Minor fit adjustments after delivery are included. Changes to the brief after the quote is agreed (a different garment, added pieces, or a substantially different design) may affect the price and timeline, and we'll confirm any changes with you before proceeding.
Bespoke Pieces Are Made-to-Order
Under EU consumer law, the standard 14-day right of withdrawal for online purchases does not apply to goods made to your specifications or clearly personalised, which describes every bespoke commission we make. This is why the deposit described above is non-refundable: once work begins, the piece is being built specifically for you and cannot reasonably be resold.
This does not affect your right to a remedy if a finished garment is faulty or not as described. See "If Something's Wrong" below.
The Stockroom (Coming Soon)
Once ready-made, off-the-shelf pieces are available through our shop, the standard EU 14-day right of withdrawal will apply to those items, separately from the bespoke commission terms above. We'll publish the specific process for returns and withdrawal once the shop launches.
Delivery & International Orders
We ship internationally. Shipping costs and any import duties or customs charges for deliveries outside Malta/the EU are the customer's responsibility and are not included in the commission price unless stated otherwise in your quote.
Risk in the garment passes to you once it has been delivered to the address you provided. Please check your delivery details carefully before your final balance is paid.
Faults & Remedies
If your finished garment is faulty, damaged in transit, or doesn't match what was agreed at quote stage, contact us as soon as possible with photos and a description of the issue. We'll work with you to repair, replace, or otherwise put it right. This is separate from, and not limited by, the non-refundable deposit policy above.
Intended Use & Safety
StoneKeep garments are built for soft-weapon LARP: foam and latex weapon systems using light-contact combat with strictly no stabbing or thrusting. They are costume and field-wear, not certified personal protective equipment. You are responsible for confirming that any garment meets the specific safety requirements of the system or event you intend to wear it at.
Designs & Photography
Patterns, designs, and photography produced by StoneKeep Outfitters remain our property. You're welcome to share photos of your own commissioned garment personally and on social media. We'd love to see it. Commercial use of our designs, patterns, or photography requires our written permission.
Jurisdiction
These terms are governed by the laws of Malta. Nothing in these terms affects your statutory rights as a consumer under EU or Maltese law.
Changes to These Terms
These terms were last updated in September 2026. We may update them from time to time; the terms that applied when you paid your deposit will govern that commission.
